To solve this, we developed our own AI-Driven Task Management System, integrating automation to capture, categorize, and prioritize tasks from emails, Slack, and project management tools. This ensures that urgent actions are never missed, workloads are optimized, and our team stays focused on high-impact work. By eliminating manual task sorting, this system has become essential in keeping our operations agile and efficient.

The Challenge

As a small but ambitious team, we required a highly adaptive task management system to stay organized, meet deadlines, and optimize efficiency without the luxury of dedicated project managers. Relying on standard task management tools proved inadequate, as they lacked the intelligent prioritization and automation needed to handle our evolving workload. We had to design an AI-powered solution that could analyse task urgency, allocate resources dynamically, and improve accountability, ensuring we maximized productivity while keeping operations lean.

The Solution

Lamina built an AI-driven task management system using Notion, Zapier, and OpenAI’s ChatGPT to automate and centralize task handling.

The system:

Automatically collects tasks from various sources (email, Slack, Google Forms).
Uses AI to summarize and prioritize tasks based on urgency and business goals.
Assigns task categories (e.g., Sales, Finance, Website, Marketing) for easy organization.
Sends Slack notifications for high-priority tasks to ensure nothing is overlooked.
