To meet this challenge, we built our own AI-Powered Inbound Lead System — a modular automation that scrapes web data, delivers personalized outreach, and tracks engagement in real time. It scores leads based on intent signals, automates follow-ups, and highlights the highest-value prospects, all without disrupting our existing workflow. To ensure we stay informed and adaptive, the system also feeds directly into Looker Studio dashboards, providing real-time insights on lead quality, response trends, and outreach performance. These data-driven visuals help guide our next moves and sharpen our decision-making at every step.

By removing the friction from lead management and layering in meaningful insights, this system has transformed how we capture and convert interest — allowing us to scale with clarity, confidence, and speed.

The Challenge

As a growing consultancy with limited resources, we faced a common yet critical challenge: how to respond to inbound leads quickly and intelligently without sacrificing personalization or wasting time on low-quality prospects. Traditional lead management tools fell short — they lacked contextual insight, real-time responsiveness, and integration with our existing systems.

We needed more than a static CRM — we needed an adaptive system that could identify high-potential leads, tailor follow-ups, and surface meaningful trends without constant manual input. That meant building our own AI-powered solution: one that could scrape website data, automate outreach, track engagement, and score leads based on real-time signals.

Integrating this with dynamic dashboards in Looker Studio allowed us to act on data, not guesswork — giving us the clarity and speed we needed to grow without compromising quality or burning out our team.

The Solution

Lamina built an AI-powered inbound lead system using Airtable, Zapier, Firecrawl, and OpenAI to automate lead handling and provide instant, data-driven insights.

The system:

Captures lead details from form submissions (e.g., name, email, business URL, LinkedIn).
Scrapes submitted websites to extract context-rich business information using Firecrawl.
Uses AI to generate personalized outreach messages and identify potential automation opportunities.
Scores leads based on relevance, engagement, and automation fit.
Visualizes performance and lead quality via Looker Studio dashboards for fast, informed decision-making.
